Refunds and cancellations

This policy applies to fees and deposits for financial auditing and related assurance engagements with Kairo Assurance Studio. It does not cover products we do not sell, such as software licences or retail goods.

Eligibility

Refunds are available when we cancel an engagement for reasons within our control, when a deposit is unused because we cannot offer a suitable fieldwork window, or when a fixed-fee readiness review has not started and you cancel within the timeframe below.

Timeframe to request

Send refund requests to hello@algosysai.digital within 14 days of the event giving rise to the request (cancellation confirmation, missed start date, or our notice of inability to staff the engagement).

Full and partial refunds

• Full refund of unused deposits when we cancel or cannot staff the reserved window, and of fixed-fee readiness fees if work has not begun.
• Partial refund may apply if planning has started but fieldwork has not: we deduct documented planning hours at the rates in the engagement letter.
• Once substantive fieldwork or inventory observation has begun, fees for work performed are payable; unused future phases may be refunded on a pro-rata basis if the engagement is terminated by mutual written agreement.

Non-refundable items

• Third-party confirmation fees already paid to banks or specialists at your request
• Travel costs already incurred with your prior written approval
• Time already delivered under hourly or day-rate observation work

Deposits and capacity holds

March and September capacity deposits reserve observation days and partner time. If you cancel more than 21 days before the reserved kickoff, the deposit is refundable minus a ¥50,000 scheduling fee. Cancellations within 21 days forfeit the deposit unless we reassign the slot to another client, in which case we refund the unused portion.

Rescheduling and no-shows

One reschedule of inventory observation dates is allowed without charge if requested at least 10 days in advance and alternative dates exist. Client no-shows on agreed observation days are charged the day rate. We will propose a replacement date when capacity allows.

Work already started

Statutory audit fees are billed according to the engagement letter milestones. Work completed through planning, interim, or fieldwork phases remains billable even if you later withdraw, subject to any statutory cooling-off rights that may apply.

Process and timing

Approved refunds are processed within 15 business days to the original payment method where possible, or by bank transfer to an account you nominate. We will confirm the amount and method in writing.
